Click Actions to see:
- All uncompleted tasks
- Assignee names
- Due dates (if mentioned in transcript)
- Source meeting
- Status (open, in progress, done)
How Action Items Are Extracted
Clearminutes uses AI to identify action items from meeting transcripts:
- Sentences containing "will", "should", "need to", "action item", "TODO"
- Tasks assigned to specific people
- Implicit tasks (e.g. "Let me send that to you")
- Deadlines mentioned (e.g. "by Friday", "next Monday")
Extraction happens automatically when a summary is generated. Action items appear in:
- Meeting summary (under "Action Items" section)
- Actions view (global list)
Filter by Assignee
Show only tasks for a specific person:
- Click the Assignee filter
- Select a person from the list
- List narrows to their tasks
- Click X to clear filter
Common assignees:
- "Me" — tasks assigned to you
- Team member names
- "Unassigned" — items without a clear owner
Filter by Status
Show tasks by completion status:
- Click the Status filter
- Choose:
- Open (not started)
- In Progress (actively working)
- Done (completed)
- List updates to show matching items
Filter by Date
Show tasks by when they're due:
- Click the Date filter
- Choose:
- Due Today
- Due This Week
- Due This Month
- Overdue
- No Due Date
Mark as Complete
Mark a task as done:
- Click a task in the Actions view
- Click the checkbox to mark complete
- Task moves to the "Done" section
- Click again to reopen
Completed tasks remain visible in history but can be filtered out.
Edit Action Item
Refine extracted action items:
- Click a task to select it
- Click Edit
- Change:
- Task description
- Assignee
- Due date
- Priority (High, Medium, Low)
- Save changes
Edits are saved in Clearminutes but don't update your original meeting transcript.
Search Actions
Find a specific task:
- Click the search icon at the top of Actions view
- Type task description, assignee name, or meeting title
- Results appear as you type
Search looks in:
- Task description
- Assignee names
- Meeting titles (shows which meeting the task came from)
Add Manual Action Items
Create a task manually without a meeting:
- Click New Action button
- Enter task description
- Assign to a person
- Set due date (optional)
- Add notes (optional)
- Save
Manual tasks appear in the Actions list under the Manual Tasks group. They can be filtered, edited, and exported like any other action item.
If TickTick auto-sync is enabled, manual tasks sync to your TickTick Inbox automatically within a few seconds. See TickTick Integration for setup and configuration.
Export Action Items
Copy your action items to other tools:
- Click Export
- Choose format:
- Markdown: Copy to note apps, wikis, or email
- Plain Text: Simple list for pasting anywhere
Export to TickTick (Pro)
Sync action items directly to your TickTick task manager. Set up the integration first in Settings → Integrations → TickTick — see TickTick Integration for setup instructions.
Once connected, action items sync automatically to your TickTick Inbox after each summary is generated. Manual tasks you create in the Actions view also sync automatically when auto-sync is enabled.
TickTick sync and profile-based assignee filtering require a Pro subscription. Upgrade →
Missing Extraction
If important action items are missing:
- Open the meeting with the missing task
- Go to the summary section
- Manually add the task to "Action Items"
- The task now appears in Actions view
Extraction accuracy improves with clearer language:
- Good: "Alice will send the report by Friday"
- Poor: "Maybe we should think about doing the thing"
