Learn to navigate your meeting transcripts, understand transcript segments, and explore the generated summary.

Open a Meeting

From the Sidebar

  1. Click Meetings in the left sidebar
  2. A list of all your recorded meetings appears, sorted by most recent first
  3. Each meeting shows:
    • Meeting name (or auto-generated name with date/time)
    • Date and duration (e.g., "Jan 24, 2025 • 45 min")
    • A star icon (click to mark as favorite)
  4. Click any meeting to open its detail view

From a Notification

After a recording finishes processing:

  1. A notification appears: "Meeting processed: [Meeting name]"
  2. Click the notification — the app jumps to that meeting's detail view

Keyboard Shortcut

  • macOS: Press ⌘ + click on a meeting, or use ↓/↑ arrow keys to navigate
  • Windows: Press Ctrl + click or use arrow keys to navigate

Meeting Detail View

When you open a meeting, you see a split-pane interface:

Understanding Transcripts

Transcript Segments

The transcript is divided into segments — chunks of speech by one person at a time.

Each segment shows:

Speaker Label"Speaker 1", "Speaker 2", or a named speaker (if diarization is enabled and you've renamed them)

Confidence BadgeSmall colored dot or number (0–100%) — accuracy of this segment

Example:

Confidence Scores

The confidence score shows how accurately Whisper transcribed that segment:

  • 95–100% (Green): High confidence — word choice is very likely correct
  • 80–94% (Yellow): Medium confidence — general meaning is correct, but a few words might be off
  • Below 80% (Red): Lower confidence — noisy audio, accent, or technical jargon may affect accuracy

Hover over the confidence badge to see the exact percentage.

Confidence ≠ Accuracy

Even "low confidence" transcripts are usually correct — it means Whisper was less sure. Always review audio-quality issues (background noise, overlapping speakers) if you see many red badges.

Jump to Timestamp

Click any timestamp to seek to that point in the audio:

  1. Click [00:45:30] in the transcript
  2. An audio player appears at the bottom of the detail view (if available)
  3. Audio plays from that timestamp
  4. Useful for verifying transcription accuracy against the original recording

Search Within a Transcript

  1. Press ⌘F (macOS) or Ctrl+F (Windows)
  2. A search box appears at the top of the transcript panel
  3. Type a word or phrase: "budget", "next steps", "John said"
  4. Matching results are highlighted in the transcript
  5. Use arrow buttons to jump between matches
  6. Press Escape to close the search box

Filter by Speaker

If diarization has identified multiple speakers (Pro feature):

  1. Click Filter by Speaker dropdown
  2. Select a speaker's name to show only their segments
  3. Click All Speakers to show the full transcript again

Some meetings are long. Jump to key sections:

  1. Click Summary panel on the right
  2. Click on any section like "Action Items" or "Topics Covered"
  3. The transcript automatically scrolls to related segments

Summary Panels

The right panel shows the AI-generated summary of your meeting. Summaries appear after recording processing completes (or manually via the Summarise button).

Summary Sections

Key Points:

A bullet-list of the most important points discussed. Usually 3–7 items.

Example:

• Engineering needs 3 more months for the database refactor
• Marketing is shifting focus to customer retention

Action Items (Pro):

Tasks or decisions that need follow-up. Each shows the assigned person (if detected).

Click the checkbox to mark items as complete.

Topics Covered:

A ranked list of subjects discussed (from most to least mentioned).

Example:

• Hiring timeline
• Customer support metrics

Decisions Made:

Important decisions discussed in the meeting (if the summary model detected any).

Example:

Decisions Made
• Approved $500K budget for new server infrastructure
• Moved hiring start date to March 1st

Summary Details

At the top of the summary panel:

This shows which model created the summary and when.

Editing Transcripts

Inline Editing

To fix transcription errors or speaker labels:

  1. Click on the text or speaker label you want to edit
  2. The text becomes editable (a cursor appears)
  3. Type corrections or changes
  4. Press Enter or click elsewhere to save
  5. A small checkmark appears briefly confirming the save

:::tip Keyboard Shortcuts While Editing

  • ⌘Z / Ctrl+Z: Undo
  • ⌘⇧Z / Ctrl+⇧Z: Redo
  • Tab: Move to next segment
  • ⇧Tab: Move to previous segment :::

Edit Speaker Labels

  1. Click a speaker label (e.g., "Speaker 1")
  2. A renaming dialog appears
  3. Type the person's name: "Alex", "Sarah Chen", etc.
  4. Click Save or press Enter
  5. All segments by that speaker are renamed automatically throughout the transcript

Merge Segments

Sometimes Whisper splits one person's continuous speech into multiple segments (due to short pauses or audio glitches). To fix:

  1. Click the first segment of the person's speech
  2. Look for a Merge button or right-click → Merge with next
  3. Click to combine with the next segment
  4. The text combines and is now one segment with one timestamp

Split Segments

If a segment contains speech from two different people (rare):

  1. Click at the word boundary in the segment text
  2. Right-click → Split Here or use Ctrl+Shift+B
  3. The segment splits into two at that point
  4. Assign the second segment to the correct speaker

Find & Replace

To make bulk edits across the entire transcript:

  1. Press ⌘⇧H (macOS) or Ctrl+Shift+H (Windows)
  2. A Find & Replace dialog appears
  3. Enter:
    • Find: The text to search for
    • Replace: The replacement text
  4. Click Replace All or review each match first with Replace

Use this to fix repeated misspellings: "octobet" → "October", "AI" → "AI", etc.

Undo & Redo

  1. Undo: ⌘Z (macOS) or Ctrl+Z (Windows)
  2. Redo: ⌘⇧Z or Ctrl+Shift+Z
  3. Undo history persists for your current session (limited to ~20 levels)

Lock Transcript

To prevent accidental edits:

  1. Click the Lock icon (top-right of the transcript panel)
  2. The transcript becomes read-only (highlighted in grey)
  3. Click again to unlock

Summary Actions

Regenerate Summary

If you edited the transcript or want to try a different summary model:

  1. Click the Regenerate button in the summary panel
  2. Select a different model (built-in AI, Claude, Groq, Ollama) if desired
  3. Optionally, customize the prompt (see below)
  4. Click Generate
  5. Processing begins — you'll see a progress indicator

Processing time:

  • built-in AI: 30–60 seconds
  • Claude: 5–15 seconds
  • Groq: 5–10 seconds

Customize Summary Prompt

To change the style or focus of summaries:

  1. Click Settings → Summary → Custom Prompt
  2. Edit the prompt template:
    • Default: "Summarize the meeting in clear bullet points. Include key decisions and action items."
    • Examples:
      • For executives: "Create a one-paragraph executive summary suitable for a board presentation."
      • For detailed notes: "Create a detailed summary with all discussion points, decisions, and next steps."
      • For specific focus: "Summarize only the action items and who is responsible."
  3. Click Save
  4. Click Regenerate Summary in the meeting detail to apply the new prompt

Edit Summary Directly

Summary text is editable like the transcript:

  1. Click any section of the summary
  2. Text becomes editable
  3. Rewrite or refine as needed
  4. Click elsewhere or press Enter to save

Useful for:

  • Combining multiple key points into one
  • Removing irrelevant action items
  • Adding context the LLM missed

Actions View (Pro)

If you have Clearminutes Pro and action items are detected:

  1. In the summary panel, find the Action Items section
  2. Click any action item to:
    • Mark as complete (checkbox)
    • Edit the text or assigned person
    • Delete if it's not actually an action item
  3. All action items from all your meetings appear in Actions in the sidebar
  4. See Actions View for more details

Export from Here

To export just this meeting's transcript and summary:

  1. Click Export button (top-right of meeting detail view)
  2. Choose format:
    • Markdown: Full transcript + summary with formatting
    • Plain Text: No formatting, easy to paste anywhere
  3. Choose destination:
    • Copy to Clipboard: Paste immediately into email, note-taking app, etc.
    • Save to File: Choose a location and filename
  4. See Export Notes for more export options
